How we protect your information

People trust K & L Representative Payee Services, Inc. with details about their income, benefits, and household. This page explains what we collect through this website, how the online application is protected, who can see it, and how long we keep it.

What we collect

The contact form and the preliminary intake request ask for your name, telephone number, email address, the service you are interested in, and a short message.

The full client intake application asks for more. It includes your legal name, date of birth, address, phone and email, the last four digits of your Social Security number, emergency contact, monthly income and benefit amounts, bank names and approximate balances, household members, vehicle, regular bills with the last four digits of each account, and your typed signature. We never ask for a full Social Security number, full bank account number, or password on this website.

How the online application is protected

Your application travels to us over an encrypted (https) connection. Before it is saved, the website encrypts it using AES-256, a widely used encryption standard. The encrypted file is stored in a private area of our hosting account that cannot be reached from the internet.

Applications are not sent by email. When one arrives, staff receive a notice with the confirmation number only. To read an application, an authorized KLRPS staff member must sign in to a password-protected administration area. Each sign-in, each time an application is opened, and each deletion is recorded, and repeated failed sign-in attempts are blocked.

Contact and request forms use regular email

Messages from the contact form and the preliminary request form are delivered to our office by standard email. Please do not include Social Security numbers, account numbers, benefit claim numbers, or medical details in those forms. If you need to share confidential information, use the full intake application or call us.

How long we keep it

Once our staff have reviewed an application and entered the information into your client file, the website copy is permanently deleted, no later than 90 days after review. Records we keep as your representative payee are maintained as required by the Social Security Administration or the Department of Veterans Affairs.

How information is used and shared

We use your information to decide whether our services fit your needs, to set up and provide those services, and to keep the records our work requires. We share it only when needed to manage your approved services, such as with the Social Security Administration, the VA, caseworkers, housing providers, or companies you pay through us, or when the law requires it. We do not sell or rent personal information.

Cookies and outside services

This website does not use advertising or tracking cookies. The application page sets a temporary cookie so we can show your confirmation number after you submit. Page fonts are loaded from Google Fonts, which means Google receives your device's internet address when a page loads.

Your choices

You never have to use the online application. You can complete intake by phone or in person at our Memphis office. You may also ask what information we hold about you or ask us to correct it.

A few habits help keep your information safe. Fill out the application on your own device rather than a public or shared computer. If someone contacts you claiming to be from KLRPS and asks for personal or banking details, hang up and call us at the number below to confirm.
